Once activated, the platform begins engaging patient inquiries, guiding eligible patients toward scheduling, and delivering appointment records to your clinic as bookings occur.

This document explains how the platform behaves and what your clinic can expect as appointments begin arriving.

Your existing EMR and/or CRM remain your official system of record.

What Happens When the System Is Active

When a patient schedules through True Precision AI:

  1. The patient completes qualification and booking.
  2. Required intake information is collected.
  3. An Appointment Record is generated.
  4. Appointment details are delivered to your clinic via secure email notification.
  5. The appointment becomes visible within the Appointment Records dashboard.

Clinical confirmation, scheduling alignment, and ongoing patient management occur within clinic-operated systems.

Platform Behavior

True Precision AI documentation describes platform behavior, not clinic workflow. Operational staffing procedures, scheduling protocols, and clinical processes remain independently managed by each clinic according to internal standards.

How the Booking System Works

True Precision AI facilitates patient engagement and scheduling through a structured qualification and booking process. Patients schedule appointments only after completing platform qualification criteria, which may include:

  • Medical pathology alignment
  • Symptom chronicity thresholds
  • Symptom severity thresholds
  • Geographic eligibility
  • Voluntary selection of appointment date, time, and location

Qualified patients schedule appointments through the True Precision internal booking calendar.

Internal Calendar Configuration

Clinics configure:

  • Available days for new patient scheduling
  • Appointment time ranges
  • Bookable clinic locations

The internal booking calendar reflects availability for new patient scheduling opportunities. This calendar operates independently from clinic EMR scheduling systems and is not intended to mirror provider-level schedules in real time. Its purpose is to support patient commitment and structured appointment generation.

Voice Handling & Unscheduled Contacts

True Precision AI engages contacts who:

  • Have not yet scheduled
  • Require scheduling assistance
  • Request additional information

When intake requirements are completed and an appointment is selected, an Appointment Record is generated and delivered to the clinic. Patients are informed that appointment confirmation occurs through the clinic following booking.

Inbound Phone Number Configuration

True Precision AI requires a designated inbound phone number for appointment-related patient inquiries. Patients may contact this number following scheduling or engagement. Internal call routing and communication handling occur within clinic-operated systems.

Upon appointment scheduling and intake completion, structured appointment data is delivered including:

When does an Appointment Record become available?

An Appointment Record is created once booking and required intake information are completed. Notification is delivered immediately upon record creation.

Are appointments fully confirmed?

Patients are informed that confirmation occurs through the clinic following booking. Platform booking represents scheduling commitment rather than finalized EMR confirmation.

Why doesn't the internal calendar match our EMR?

The internal calendar reflects configured availability ranges and does not mirror provider-level scheduling systems in real time.

Is Appointment Records required?

No. Appointment data delivery occurs via secure email notification regardless of portal usage.

Does True Precision AI replace clinic scheduling systems?

No. True Precision AI facilitates qualification and booking while clinics maintain scheduling and clinical management within their existing systems.

HIPAA & Data Security

Appointment Records may contain Protected Health Information (PHI). True Precision AI operates within HIPAA-compliant infrastructure and uses encrypted data transmission for platform communications. Responsibility for PHI management transfers to the receiving organization upon delivery into clinic-controlled systems. Additional details are available under Security & Compliance.
